Pricing

Fixed scope, written acceptance criteria, no mandatory retainer.

Each engagement covers an agreed workflow at a price fixed in writing before work starts. The initial conversation costs nothing and needs no files or preparation.

Option 1

Workflow pilot

$1,500 to $2,500 USD

A bounded validation engagement on an agreed representative period. It answers whether the approach works for this workflow before anything is prepared for operational use.

  • Tests a clearly defined part of one recurring workflow
  • Limited, agreed inputs and rules
  • The relevant checks and an exception output with reasons
  • Documentation and handover of the pilot files
  • Ends with the evidence and a recommendation on whether, and how, to roll it out

A pilot does not automatically include production deployment, and its results do not establish performance for periods that were not tested.

Option 2

Workflow implementation

$3,000 to $6,000 USD

An agreed recurring process prepared for operational use, from its inputs to a reviewed output. Broader in delivery scope than a pilot, not simply more checked.

  • Covers the agreed workflow end to end, from inputs to reviewed output
  • The integration or configuration it needs in your environment
  • Checks, exception handling and documentation
  • Handover and walkthrough for the team who will run it
  • Tested on representative periods against acceptance criteria agreed in the statement of work

Option 3

Larger program

Custom scope and quote

Several workflows, entities or teams, delivered in stages with separate acceptance points, subject to capacity.

  • Prioritised list of workflows and a staged plan
  • Shared conventions for checks, documentation and change control
  • Milestones, each with its own written acceptance criteria

All prices in USD plus applicable taxes. The final price for any engagement is confirmed in a written statement of work after scoping.

Pilot or implementation?

A workflow pilot tests whether the approach works on a defined part of a workflow, using one agreed representative period, and ends with evidence and a recommendation. A workflow implementation prepares an agreed process for operational use, end to end, with the configuration, testing and handover that requires. Some workflows start with a pilot and others go straight to an implementation. Which makes sense is agreed during scoping.

What moves a workflow within a range

  • How many sources have to be combined, and how consistent their exports are.
  • How many matching rules and control checks the workflow genuinely needs.
  • The environment it must run in, for example which Excel features, add-ins or scripting your organisation allows.
  • How many people will run it, and how much documentation and handover they need.

Not every workflow needs code. Many are best served by formulas, tables and Power Query that your team can open and inspect. A script or macro is used only where it genuinely helps, and never as a requirement.

Proposed terms for a statement of work

These are the protections we intend to offer in every statement of work. The exact wording and amounts are set in the agreement itself.

  • Written scope and acceptance criteria. What will be built, what is out of scope, and how you will test that it works, agreed before work starts.
  • Milestone payments.Fees are split across agreed milestones rather than paid in full up front.
  • A meaningful balance tied to your acceptance.A substantial part of the fee is payable only once the workflow meets the written acceptance criteria.
  • You own the delivered files.Workbooks, queries, scripts and documentation delivered to you are yours, subject to the licences of any third-party software they rely on.
  • A bounded correction period. For an agreed period after acceptance, defects in the agreed implementation are corrected at no extra charge.
  • Changes quoted before they happen.Anything outside the agreed scope is quoted separately and only done once you approve it.
  • No mandatory retainer. After handover your team runs the workflow. Further work is optional and scoped on its own.

What pricing does not include

Accounting, bookkeeping, tax, audit or assurance services. MatchPass builds and documents the workflow. Accounting judgment, the treatment of exceptions and the sign-off stay with your team or your accountant.

Cancellation and refund treatment for a specific engagement is set out in its written agreement. See refunds and cancellations.

Start with one workflow

Describe it in a few sentences. If it is worth automating we will propose a written scope and a fixed price. If it is not, we will say so.
